Ascension Business Solutions (ABS), a remote operational support partner for home care agencies, spent September 29 through October 3, 2026, in Fort Worth, Texas, at the Amada Senior Care Conference and golf tournament. Home care owners told us honestly what’s happening in their offices. The conversation we keep coming back to started with a scheduler who’s on her way out.
The conversation we keep coming back to
At the Amada Senior Care Conference in Fort Worth, an owner stopped at our booth and told Paki Fernandez, our Business Development Coordinator, where things stood in her office.
She had already tried to solve her scheduling problem twice. First she hired in-house. Then she tried another VA provider. Neither worked out.
Lead with Love.
Scale with Support.
Operate with Excellence.
Now her current scheduler is transitioning out. The owner has SOPs written and ready. What she needs is a scheduler for the 1 p.m. to 9:30 p.m. shift, trained by the person who’s leaving, before she’s gone.
She wasn’t asking for “help with admin.” She knew the exact hours, the exact role, and exactly what knowledge was about to walk out the door. What she needed was for the third attempt to be the one that holds.
If you run a home care office, you already know what happens between 1 p.m. and 9:30 p.m. We don’t need to explain it to you.
She wasn’t the only one: what home care owners asked us
Over three days, we heard versions of her story from owner after owner. The details changed. The shape didn’t.
Some owners had never worked with a virtual assistant. They weren’t sold yet, but they were curious, and they asked direct questions about how it would actually work in their office.
Several owners needed a hybrid recruiter/scheduler: one person who can keep the hiring pipeline moving and keep the schedule filled, because in home care those two jobs never really separate.
Others wanted to talk about our after-hours on-call team. They were ready for the after-hours phone to stop landing on them.
Different offices, same underlying question. Not can someone do these tasks? but will this person fit the way my office actually runs?
If one of those roles is open in your office right now, let’s talk about it. Or keep reading to see what it looks like when an office gets that answer right.
The keynote line that named it
The conference opened with welcome bands and a full room. Then Dr. Derwin L. Gray took the stage with “Built to Last: 5 Things Great Teams Do to Make a Lasting Impact.”
One line stayed with us all week:
When your why is bigger than your what, your work becomes meaningful.
He also said great teams know their why, and that they play for something bigger than themselves.
Every owner we talked to had a big why. It’s the reason they’re in home care at all. The trouble is the what: the shift that won’t fill, the scheduler who’s leaving, the call at 9 p.m. When nobody but the owner can carry the what, it quietly eats the time the why needs.
That’s the job we believe operational support should do. Put the right person on the right part of the what, so you get your time back for the why. It’s why our tagline is We Help Those Who Help Others.
What it looks like when the role is right: a client story from Amada Orange County
Two days before the conference opened, at the Amada golf tournament, Paki ran into Tyler Hincy and Mason Hill of Amada Senior Care Orange County. Their office works with ABS. Mason later shared this on camera:
“We’ve got two schedulers. We started off with one and really immediately knew that we needed another. So the process of onboarding and everything was so seamless. It was fantastic. I felt like it was so thorough so they could truly understand the position. The feedback that we get is truly incredible from their team as well, all about their performance and things. They always are locked in and want to know exactly what’s going on.”
— Mason Hill, Amada Senior Care Orange County
Notice what Mason points to. Not speed, not price. An onboarding thorough enough that the schedulers truly understand the position. A team that stays locked in. And an office that started with one scheduler and quickly knew it wanted a second.
We heard the same pattern from other clients during the week. James Bernoski told Paki he’s seeing real improvement from his team. Patrick Murphy shared that onboarding with ABS has gone more smoothly than what he’s experienced elsewhere, and he’s planning to bring on a third VA.
We also got to catch up with current clients Correy Webb of Amada Senior Care of Sacramento North, Mary Bennett of Amada Sarasota, Brad Smith of North Carolina, and Tracy Eidson of Amada of Eastern North Carolina. Seeing them in person is the part of conference season we look forward to most.
The question behind everything we do: right person, right role
Before the conference, our Founder and CEO, Regina Asuncion, recorded a message for the Amada community. In it, she named the question that sat underneath almost every conversation we had in Fort Worth:
“The question isn’t, can someone do this task? The better question is, is this the right person in the right role with the right strength to support the way your organization actually operates.”
That’s why our approach is science-backed. We use behavioral data and intentional role alignment to find virtual assistants who aren’t just capable of the work, but aligned with the responsibilities and expectations of the role. From scheduling and on-call to recruiting, intake, and executive support, our VAs become an extension of your team.
Think back to the owner with the 1 p.m. to 9:30 p.m. shift. She’d already tried filling that seat twice. What she needed was the right person for that seat, onboarded well enough to take the handoff.
Regina put the payoff simply:
“When the right operational support is in place, leaders get something incredibly valuable back. The capacity to lead, the space to grow, and the freedom to focus on what they do best.”
The rest of our week at the Amada Senior Care Conference
The conversations were the heart of the trip, but Fort Worth gave us plenty of good moments around them.

And thank you to every owner who stopped by, asked a hard question, or told us what’s really going on in your office.
If this sounds like your office
Take a quick look at the last 30 days. Does any of this sound familiar?
- A key scheduler, recruiter, or coordinator told you they’re leaving, or you’re worried they will.
- You’ve already tried an in-house hire or a VA provider for that role, and it didn’t stick.
- You, or one of your managers, are still the after-hours on-call backup.
- You need one person who can keep both recruiting and scheduling moving.
- You have SOPs written, but nobody with the time to train a replacement.
If even one of these is true, bring us the role. In a strategy call, we’ll ask about the shift, the responsibilities, and how your office actually runs. Then we’ll tell you honestly whether we’re the right fit.
You help others every day. Let us help you.
Love. Support. Excellence.
